Office Coordinator
Location: Alpharetta
Part-time: 3 Days a Week (Tues, Weds, Thurs: 15 -20 Hours)
Role Summary
The Office Coordinator is responsible for ensuring the efficient, organized, and professional operation of the office environment while providing administrative, facilities, and operational support across the organization. The role handles a broad range of tasks including office supply purchasing, mail and shipment coordination, facilities vendor management, and calendar support when needed. This position also serves as the primary point of contact for office renovations, construction activities, and relocation efforts, coordinating contractors and ensuring clear communication throughout.
In addition, the Office Coordinator provides backup support to the Sr. Executive Assistant when the Sr. Executive Assistant is absent. The Coordinator assists with office events and contributes to maintaining a positive, well‑functioning workplace for all employees.
Key Responsibilities
Office Operations
• Maintain a clean, organized, and functional office environment.
• Manage office supply inventory, purchasing, and vendor relationships.
• Coordinate the receipt, distribution, scanning, and logging of mail.
• Manage incoming and outgoing shipments, including preparation, tracking, and courier coordination.
• Serve as the primary point of contact for general office inquiries from staff.
Facilities Management
• Act as the key contact for facilities‑related issues, coordinating with service providers.
• Oversee facility invoices and support approval workflows.
• Serve as the point person for office renovations, construction projects, and/or relocations.
• Schedule and supervise contractors and communicate updates.
• Proactively identify and address facility issues.
Executive & Administrative Support
• Provide minor scheduling assistance for executives. (Only when Sr. EA is on PTO/OOO)
• Support office-wide communications and event logistics.
• Assist colleagues with administrative needs.
Workplace Culture & Events
• Assist with planning and executing office events.
• Support onboarding activities such as workspace setup and access coordination.
Qualifications
Education
• High school diploma required.
• Diploma or certificate in Office Administration, Business Administration, or related field is an asset.
Experience
• 1–3 years of experience in office administration or facilities coordination.
• Experience with calendar management is an asset.
• Experience coordinating contractors or office moves preferred.
Technical Skills
• Proficiency in Microsoft Outlook, Excel, Word, and Teams.
• Comfortable with office equipment and courier systems.
Experience with expense reports is a plus
