For our Iberia Ear/Nose/Throat (ENT) Operating Unit, we are looking for a Business Assistant and Sales Administrator to provide administrative and operational support to the Marketing and Sales teams, as well as to the Business Leadership team. The role will also contribute to the management and coordination of key business operations processes. This position plays an important role in ensuring smooth day-to-day operations, supporting commercial activities, and enabling the effective execution of business initiatives. This is a hybrid role based in Madrid.
Responsibilities may include the following and other duties may be assigned:
Support Business Leadership with day-to-day operational and organizational tasks
Provide administrative support to Marketing and Sales teams, ensuring efficient coordination of activities and processes
Support business operations processes to improve efficiency and execution
Assist in the planning, documentation, follow-up and execution of events, grants and scholarships
Monitor and follow up on accruals to ensure accurate tracking and timely reporting
Manage vendors
Assist in distributor management with DRO including communication, documentation, coordination, and follow-up on activities
Track and manage backorders, ensuring proper communication and resolution with relevant stakeholders including customers. Perform all necessary activities to ensure proper supply chain
Maintain accurate records, reports, and documentation related to sales and marketing activities
Collaborate cross-functionally with internal teams to support business objectives
Required Knowledge and Experience:
University degree and/or relevant experience
Minimum 5 years of experience in a similar position and in a Medical Device company
Strong computer skills
Fluent in Spanish with a good level of English
Full knowledge of systems and procedures obtained through prior work experience
High degree of autonomy, commitment and accountability, detail oriented, positive attitude
Proven track record to manage multiple tasks and react adequately to changing priorities and last-minute changes
Passionate and interested in learning and developing new skills
